All figures are computed from the ERP order-line export (`sales.sqlite`, table `orders`) joined to `products` (list prices and unit costs) and to the regional mapping (`regions_mapping.csv`). These definitions are binding for every KPI pack. When a figure in a pack differs from a figure in another report, the figure computed with these definitions prevails. ## 1. Data preparation rules 1.1 **Order-line identity.** One row of `orders` is one order line. A line is uniquely identified by the pair `(order_id, line_no)`. The ERP export routine is known to repeat rows when it is run while the nightly job is still writing; if the export contains more than one row with the same `(order_id, line_no)`, exactly one occurrence is kept and the number of removed rows is reported in the pack. 1.2 **Status.** `status` takes the values `shipped`, `returned` and `cancelled`. A return is recorded by the ERP as its own order line with `status = 'returned'` (a credit line with a positive quantity, carrying the `order_date` of the original order); the original shipped line keeps `status = 'shipped'`. Cancelled lines were never invoiced: they are **excluded from every KPI** (revenue, margin, orders, average order value, returns and delivery). 1.3 **Line value and unit price validation.** Line value = `qty × unit_price`. The `unit_price` of a line must lie between 50 % and 150 % of the product's `list_price` (table `products`). A line outside this range is a data-entry error: the line is kept, its `unit_price` is replaced by the product's `list_price`, and the pack reports the number of lines and the product(s) affected. Normal commercial discounts (0–12 %) and the January 2025 price-list increase (+3 %) are within the accepted range and must not be altered. 1.4 **Period attribution.** Every line, including return (credit) lines, is attributed to the month and year of its `order_date`. 1.5 **Regions.** Each line carries `region_code` (three upper-case letters). Region names come from `regions_mapping.csv`; codes must be normalised to upper case before joining so that every line maps to exactly one named region. A pack with lines in an "unknown" region is not acceptable. 1.6 **Dates.** `ship_date` must be on or after `order_date`. A shipped line whose `ship_date` is earlier than its `order_date` is impossible (interface error): it is **kept in revenue and margin** but **excluded from the on-time delivery metric** (numerator and denominator), and the number of such lines is reported in the pack. ## 2. KPI formulas | # | KPI | Definition | |---|---|---| | K1 | Gross shipped revenue | Σ line value over lines with `status = 'shipped'` | | K2 | Returns value | Σ line value over lines with `status = 'returned'` | | K3 | **Net revenue** | K1 − K2 | | K4 | Net COGS | Σ `qty × unit_cost` over shipped lines − Σ `qty × unit_cost` over returned lines (unit_cost from `products`) | | K5 | Gross margin | K3 − K4 | | K6 | **Gross margin %** | K5 ÷ K3 × 100 | | K7 | Number of orders | count of distinct `order_id` having at least one shipped line in the period | | K8 | **Average order value (AOV)** | K3 ÷ K7 | | K9 | **Return rate %** | K2 ÷ K1 × 100 | | K10 | **On-time delivery %** | among shipped lines (`status = 'shipped'`) with a valid `ship_date` (rule 1.6), share with `ship_date − order_date ≤ 10` calendar days, × 100 | | K11 | **Year-over-year (YoY) %** | (net revenue 2025 ÷ net revenue 2024 − 1) × 100, computed for the full year and for each calendar month (January 2025 vs January 2024, etc.) | | K12 | **Top-10 products** | the ten products with the highest net revenue (K3) in FY2025, ranked in descending order, with each product's share of FY2025 net revenue | K7, K8, K9 and K10 are reported for FY2025 (FY2024 values are welcome as comparison). K1–K6 and K11 are reported for FY2025 and FY2024, and K3 and K11 month by month. ## 3. Presentation conventions - Currency amounts to the dollar (no cents) in the dashboard; percentages with one decimal. - The commentary quotes headline figures in full dollars (for example 12,345,678 CAD), never rounded to millions, so that Finance can tie them to the dashboard. - Regions are presented in the order of `regions_mapping.csv`; products by rank. - Every data-preparation action (rules 1.1, 1.3, 1.5, 1.6) is quantified in the pack: how many rows or lines, which product(s), which region code(s). Finance (Étienne in copy) will tie the numbers to the year-end close, so please stick exactly to the KPI definitions document version 2025.3 (SOPS-KPI-DEF) that Finance approved in November - it is in the shared folder and in the Sales Ops portal document library, together with the dashboard template. What I need in the pack: 1. The Excel dashboard built on the standard template (KPI_Summary, Monthly, Regions, Products). Keep the summary sheet formula-driven from the detail sheets so that Étienne can audit it, and add the usual monthly chart (2024 vs 2025). 2. A short written commentary (Word) that I can paste into the board deck: headline KPIs, what happened month by month versus 2024, the regional picture, the product mix, and a data-quality section. Last year Finance found problems in the ERP extract after the pack had gone out, so this time I want every clean-up you had to do listed with counts, plus a methodology paragraph. Please quote the headline figures in full dollars so they match the workbook. 3. The scripts or SQL you used, so that we can re-run the pack for the Q1 update. Context you should know: the 2025 price list came into force on January 1 (about +3 % across the catalogue), the Eastern Ontario territory got a second rep in April, and the ERP export you received (sales.sqlite) is the raw nightly export of the orders table for 2024-01-01 to 2025-12-31 with the customers, products and regions tables. The region naming file for the dashboard is regions_mapping.csv, as usual. If something in the data does not add up, do not paper over it - flag it in the commentary and in your completion notes. Thanks, Marie-Ève Dufresne VP Sales, Boréal Fenestration Inc. 1450, boulevard de la Carrière, Gatineau (Québec) """ def write_brief(path: str, footer: str, oracle_free_counts: dict): text = f"""# Assignment — FY2025 Sales KPI Pack **Organisation:** Boréal Fenestration Inc., Sales Operations (Gatineau, Québec) — manufacturer of residential windows and doors sold through dealers, contractors and builders in Québec and Ontario. **Your role:** Business Intelligence analyst, Sales Operations. **Requester:** Marie-Ève Dufresne, VP Sales (see `inputs/request_email.eml`). **Fiscal year:** FY2025 = calendar year 2025; comparison year FY2024. Currency: CAD before taxes. ## Context The VP Sales needs the annual sales KPI pack for the board meeting of 20 January 2026. Finance will reconcile the pack to the year-end close, so every figure must follow the approved KPI definitions (`inputs/kpi_definitions.md`, SOPS-KPI-DEF v2025.3) to the letter. You received the raw nightly ERP export and the standard dashboard template. ## Inputs (`inputs/`) | File | Content | |---|---| | `data/sales.sqlite` | ERP export. Tables: `orders` (order lines 2024-01 → 2025-12: `order_id, line_no, customer_id, product_id, qty, unit_price, order_date, ship_date, status, region_code`), `customers` ({oracle_free_counts['customers']} rows), `products` ({oracle_free_counts['products']} SKUs with `list_price` and `unit_cost`), `regions` (5 sales regions). | | `data/regions_mapping.csv` | Region code → region name used on the dashboard. | | `kpi_definitions.md` | Binding KPI definitions and data-preparation rules (v2025.3). | | `dashboard_template.xlsx` | Expected layout of the dashboard: sheets `KPI_Summary`, `Monthly`, `Regions`, `Products` with their headers. | | `request_email.eml` | The VP's request with the context of the year. | Treat the export as raw data: apply the data-preparation rules of the definitions document before computing anything, and quantify every preparation step in the pack. ## Deliverables (all in `out/`) 1. **`kpi_dashboard.xlsx`** — the dashboard, with the four sheets of the template, same sheet names and headers. - `Monthly`: net revenue 2024 and 2025 for each month of the year, monthly YoY %, orders, gross margin % and returns value for 2025, and a total row. - `Regions`: the five regions (code and name from the mapping file), net revenue 2024 and 2025, YoY %, share of 2025 net revenue, gross margin % 2025, and a total row. - `Products`: the top-10 products by FY2025 net revenue (rank, SKU, product name, category, net revenue, share of FY2025 net revenue, net units). - `KPI_Summary`: the headline KPIs for FY2025 and FY2024 (net revenue, gross shipped revenue, returns value, net COGS, gross margin, gross margin %, number of orders, average order value, return rate %, on-time delivery %) and the data-preparation counts. The VP wants this sheet **formula-driven**: its values must be Excel formulas that reference the `Monthly`, `Regions` and `Products` sheets (sums, ratios, differences), not typed-in numbers. - At least one chart object (monthly net revenue 2024 vs 2025) on the `Monthly` sheet. 2. **`kpi_commentary.docx`** — board commentary of at least 400 words with these sections: *Headline KPIs* (full-dollar figures that tie to the workbook), *Monthly trend versus 2024*, *Regional picture*, *Product mix* (top-10), *Data-quality findings* (every preparation step with counts and the product/region codes concerned), *Methodology* (sources, rules applied, tools). 3. **`code/`** — the scripts and/or SQL you used (any language), so that Sales Ops can re-run the pack for Q1. 4. **`COMPLETION.json`** — see the working conventions below. If a Sales Ops portal is available in your environment, the definitions document, the template and the product list are also in its document library and records, and the three headline figures (net revenue 2025, YoY %, gross margin %) should also be entered in its `kpi_submission` form. The portal contains nothing that is not already in `inputs/`. ## Business rules and conventions - Follow `kpi_definitions.md` for every formula, exclusion, validation and attribution rule; when the e-mail and the definitions document could be read differently, the definitions document prevails. - Amounts to the dollar in the workbook; percentages with one decimal; headline figures in full dollars in the commentary. - Regions in the order of the mapping file; products by rank. - Do not alter the input files. Work on copies or in memory and keep the cleaning steps in your code. - Deliverables are in English. {footer}""" with open(path, "w", encoding="utf-8") as f: f.write(text) def write_portal(path: str, products: list[dict]): portal = { "org": "Boréal Fenestration Inc. — Sales Operations portal", "user": {"username": "bi.analyst", "password": "Boreal2025!"}, "documents": [ {"id": "doc-kpi-def", "title": "SOPS-KPI-DEF v2025.3 — Sales KPI definitions", "path": "kpi_definitions.md", "category": "Policies"}, {"id": "doc-template", "title": "Dashboard template — Sales KPI pack", "path": "dashboard_template.xlsx", "category": "Templates"}, {"id": "doc-request", "title": "Request — FY2025 sales KPI pack (VP Sales)", "path": "request_email.eml", "category": "Requests"}, {"id": "doc-regions", "title": "Region mapping (dashboard names)", "path": "data/regions_mapping.csv", "category": "Reference data"}, ], "records": {"products": [{"product_id": p["product_id"], "name": p["name"], "category": p["category"], "subcategory": p["subcategory"], "size_in": p["size_in"], "list_price": p["list_price"], "unit_cost": p["unit_cost"]} for p in products]}, "forms": [{"id": "kpi_submission", "title": "FY2025 KPI submission (headline figures)", "fields": [{"name": "net_revenue_2025", "type": "number", "label": "Net revenue FY2025 (CAD, full dollars)"}, {"name": "yoy_pct", "type": "number", "label": "Net revenue YoY % (2025 vs 2024, one decimal)"}, {"name": "gross_margin_pct", "type": "number", "label": "Gross margin % FY2025 (one decimal)"}]}], } with open(path, "w", encoding="utf-8") as f: json.dump(portal, f, ensure_ascii=False, indent=2) # ---------------------------------------------------------------------------------------------------------------------- # Writers — oracle # ---------------------------------------------------------------------------------------------------------------------- def write_reference_md(path: str, kp: dict, info: dict, injection_customer: dict, naive: dict, seed: int): fy25, fy24 = kp["fy2025"], kp["fy2024"] pe = info["price_error"] steps = [ "Read the request e-mail and the brief;
